How to Export Your Expenses in a Custom Date Range

Sometimes you need to know how much you spent in an exact time span so you how costly were your holidays or to file an expense report at work. I’m sure you can think of many other situations. In the web app on toshl.com you can do it easily and quicker than you can say “omgthisiscoolerthanapinkflyingdolphin”. Here’s how.

1. Set a custom time span

Just click on the name of the month and an overlay will show up with the time span settings. Click on the custom timespan tab. Set the custom dates you want or use one of the preset options. Click Save. All the data in the web app is now displayed according to those criteria.

We noticed a lot of people don’t find the time span settings right away, we promise to make it more obvious in the next version.

2. Export the financial data

In the navigation bar, click on export. You’ll notice that the default option for export has now changed from the name of the current month to the custom time span you just set. If that’s the range you want, just click on the file type or service you want it exported in. Once you click, it will be downloaded to your computer or transferred to the service you selected. People using Toshl Finance for free can download their data in CSV, while Toshl Pro users can also export to Excel, PDF, Google Docs or Evernote.

Merge, Add and Remove Multiple Tags

When you’re starting to track your personal finances, you sometimes need a try or two to know what you really want. For example, do you want to track spending with the names of all the restaurants or just keep it all under the food tag? To make adapting your system easier, we have now added simple tools to merge, add and remove tags on toshl.com.

How do I merge tags?

Let’s say you no longer wish to track tags “food” and “restaurants” separately. Simply go to Tags in your account and find the Merge expense tags below.

Then select “food” and “restaurant” from the dropdown menu, review them and then choose a name for the new, merged, tag. Since I’m feeling very utilitarian today, the new food tag shall be named “human fuel”.

If you wish, you can also check which expenses will be affected. The list will open in a new window and won’t interrupt your process.

All you have to do next is click Merge, confirm and there you go; all your “food” and “restaurants” are belong to “human fuel”. ;)

How do I add tags to multiple expenses?

Go to Tags in your Expenses or Income section and click on the Add expense tags below.

You can add tags to expenses with an existing tag, for example you want all the expenses tagged with “burek” (delicious Balkan pastry) to also be tagged with “food”.

Another way of using this functionality is to add a tag to all expenses within a date range. For example, I went on holiday to the Iranian city of Esfahan from 12th to the 25th of March 2013. I can then easily tag all the expenses within that range with the tag “Iran 2013”, so I’ll know exactly how much I spent during my travel there.

Review the expenses that this tag addition will affect, click Add tags, confirm and there you go. If you followed our example you can then see how much you spent in Iran in 2013 and know not to buy more than two silk carpets the next time you’re around.

How do I remove tags from multiple expenses?

As always, go to Tags and find the Remove expense tags below.

Select the tag you wish to remove from the dropdown menu. With expenses where there are multiple tags, the tag will simply be removed once you hit the Remove button. If there are some expenses, repeating expenses or budgets where the tag you selected for removal is the only one, then we’ll ask you what to do with those. You can either keep them and they will be left as they are, or you can choose to delete them, in which case the expenses and budgets themselves will be deleted. It cannot be undone, so tread with caution.

Review the expenses that will be affected, click remove, confirm and those pesky redundant no-good expense tags shall bother you no more.

These tools are only available in our web app on toshl.com. They are not something you would use every day and would add unnecessary complexity to our mobile apps. So you can make the changes that you wish on toshl.com  and after you’ve made your modifications, sync your Toshl Finance phone app. All the changes you have made will be reflected there.

All these instructions above work just the same for income tags, although if you’re like us, you will try to avoid mass removal of income. ;)

How to Create a Budget, Perhaps Make a Golden Pagoda

Tutorial to help you start budgeting with Toshl and explore some most common uses of budgets. The surest way towards becoming a enlightened budgeting genius.

So you want to save some money or keep a closer eye on how much you’re spending. Setting up a budget is the easiest way to do it.

Tap the + button (top right) or shake the phone when in the Budgets tab.

There’s a couple of different ways to budget, depending on what you need. Let’s take a look at some common examples:

Budget for all expenses – monthly

Set up the maximum amount you wish to spend during the month. Hopefully that number is lower than your incomes. That’s important because it turns out that private citizens can run budget deficits for a much shorter time than governments can. It’s thus pretty wise to keep a bit of a surplus and save for the rainy days.

This budget will now track all your expenses within the month and warn you with some flaming red hues when things go overboard.

Budget for specific tags – weekly coffee

That caffeine habit is tough to kick, especially in the mornings when that extra energy boost is like mana from heaven. Now you can at least get a sense of proportion and try to limit your coffee spending by setting up some early warning signs. If you track coffee spending with its own tag you can set up a budget just for coffee and try to shake less when holding that cup.

Some Toshl users found strength to quit smoking by setting up a cigarettes budget. But it’s not just for vice, feel free to budget for any type of tag you wish to keep a closer eye on.

Travel budget – one time

Holidays can be a time to be a bit more relaxed with money, but it’s good to have a warning system in place when it’s getting tight. You know, just so you don’t end up on the streets of Yangon selling yourself just to earn that airplane ticket back home. True story! Not really.

Anyway, go traveling, set up a one time budget for all expenses with the start and end date of your vacations and you’ll know exactly how much you spent on the trip.

People of Yangon, Myanmar budgeted so well they were able to buy themselves a golden pagoda. ;)

 

These are just a few examples of the budget combinations you can use, there’s a lot more powerful options suited to your needs. You can combine any type of budget with a time period.

Budget types:

– all expenses

– for specific tags

– except specific tags

 

Budget time periods:

– one time

– daily

– weekly

– bi-weekly

– monthly

– yearly

 

Budgets with rollovers

One more thing to get you on your merry budgeting way. Your budget doesn’t have to reset each week or month. You can turn on the rollovers by selection the option “Move remaining to next budget”. That way if you’ve been especially good in saving on restaurants last month you can move those remaining funds to the next month and treat yourself to some proper nine-course dining with fine Slovenian wine at Skaručna. Suit yourself, but that’s what I’d do.

How to Add an Expense in Toshl Finance

This is a short tutorial explaining how to add an expense in Toshl and how tags work. Shouldn’t be complicated, but it’s good to have a reference if things get confusing.

Toshl monsters may look scary, but in reality they are really nice. If you’re new to Toshl, they will help you get started. Feel safe to follow their advice. If you still have trouble finding your way around Toshl, read on.

1. Tap the + button (top right) or shake when in the Expenses tab.

 

2. Add an amount, press Next and then add some tags. Toshl lets you add any tags you like so you can organize your finances the way you want. If you want to add a new tag, simply type in the tag field with the name of the tag you would like to add. You can add multiple tags, simply separate them by commas. If you already added some tags previously, they will show bellow so you can quickly select them again.

Tags are non-exclusive. You can add more of them at one. Just bear in mind that the expense will then be counted under both tags when you sort them.

 

3. You can then tap Save to save an expense immediately or tap Next for some additional options. You can change the date, add a description or set the expense to repeat. Yes, it’s really that simple.

Track What You Lend and Borrow

We all know friends and money don’t mix, but sometimes there’s simply no other way. When that happens, it’s important you keep good track of everything you lend or borrow so you can settle all the debts as soon as possible and keep the trust strong. Here’s how Toshl can help you with that.

Let’s say you go for a drink with your best buddy Joe. As always, you have a lot to talk about and the drinks keep coming. Everything’s just great until the gigantic bill arrives and Joe tells you he forgot his wallet – again. C’mon, Joe, seriously? You’re not getting away with it this time!

Fire up Toshl and add another expense for the amount you lent. Tag it with your friend’s name and a separate tag you name something like “lent”. Do this every time you lend money or pay for somebody. You can then see exactly who and how much they owe you if you go to Expenses, swipe left to see the tag view and check under “lent” tag. To see the list for a specific person check under tag with his or her name. Since Toshl also saves the date and location for each expense, you can easily refresh your friend’s memory when you remind him to pay you back. When he does, simply delete the expense.

Now how about if you’re the Joe in this scenario. Best advice: don’t be. But if you can’t help yourself Toshl can at least help you to remember what you owe so you don’t forget to pay it back.

The idea here is similar only this time you add another income. Tag it with your friend’s name and “borrowed”. To see everything you owe check under “borrowed” in the tag view of your incomes or look under a particular name for a more specific list. When you pay someone back simply delete the income.

In future versions of Toshl, we plan to make this interaction even more elegant, but don’t use this as an excuse for not paying back what you owe right away. Money’s good to have, but friends are even better.
